Real Estate

Case Study

Autonomous Billings and Collections Platform

The client is a multi-entity commercial real-estate group: three legal entities, roughly ten commercial properties, about ten named internal users. Each month they bill rent in advance and common-area and facilities charges in arrears, often with one entity billing rent and another billing facilities to the same tenant. Every invoice is a legally binding tax document carrying a statutory tax line and a withholding line.

A 37-column tenant master carried lease terms, the tax math, the withholding deduction, the computed net-to-bank figure, and even the From, To, CC, and subject line for dispatch, all in a single row per tenant.

21-column escalation sheet projected each lease's rent forward across multiple escalation periods, by hand. Hardcoded diesel and solar allocation columns silently drifted as tenants moved in and out, quietly under-billing or over-billing whoever the spreadsheet had forgotten to update.

Tax, withholding, and net-to-bank were re-keyed per row, so one arithmetic slip propagated straight into a dispatched, legally binding invoice. Cross-entity dispatch was two separate manual emails that had to agree with each other.

There was no audit trail. Overdue chasing depended on someone remembering to look, so it happened late or not at all.

The cost was finance-staff time, leaked revenue, and cash that sat in the Receivables ledger instead of the bank. A single keystroke could ship a wrong tax figure to a tenant, with no record of who computed it.

THE AGENTIC SOLUTION · PERCEIVE → REASON → DETERMINISTICALLY EXECUTE

Platform built to Run whole cycle on trusted pillars

CloudRedux deployed a fully autonomous billing and collections agent, built to bill across the three entities, issue government-cleared tax invoices, reconcile incoming payments, compute interest on late payment, age the receivables ladder, and escalate non-payers, end to end. A CFO can hand it that much autonomy for one reason: three pillars that make the autonomy safe.

Statutory Determinism

Every money and compliance figure, the tax line, the withholding, the late-payment interest, the invoice total, the clearance reference, is computed by deterministic code, never by the language model. The AI never fabricates a figure on a legally binding document, because it never calculates one. A sceptical engineer can see exactly where the model's judgment ends and arithmetic begins.

Configurable Oversight

Human involvement is a setting, not a constraint. The platform spans complete autopilot to a maker-checker-director-MD approval chain, and the client sets the dial. The client can dial this deployment to a conservative, advisory setting while they build trust. Deploy autonomous, throttle to taste, open the dial as confidence grows.

A Learning Loop

On genuine ambiguity, a payment that does not cleanly match, a cross-entity split that needs a call, the agent escalates to a human, learns from the resolution, and handles the same case itself next time.

Autonomy increases with use, and every increase is logged.

Autonomous enough to run the entire billing cycle, governed enough that it never invents a number or acts outside the authority the client grants it.
